The Clerk's Office is responsible for the statutory duties of the Municipal Clerk with defined obligations under provincial legislation including: Municipal Act, Municipal Elections Act, Municipal Freedom of Information and Protection of Privacy Act, Municipal Conflict of Interest Act, Vital Statistics Act
The Clerk's Department provides the following services:
Agendas and Minutes: prepares and distributes all Council, Committee of the Whole and Standing Committee Agendas and Minutes and publish the documents to the website.
Communications: processes official correspondence to and from Council
Boards and Committees: administers citizen boards and committees
By-laws and Policies: manage and maintain Municipal records, including all by-laws, agreements and contracts
Licenses, Certificates and Vital Statistics: issues all licenses, such as lottery or raffle, marriage, dog, taxi, refreshment and other licensing functions; issues Special Occasion Certificates; registers deaths which occur within the Municipality.
Municipal Council: provides administrative support to Council
Records Management: maintenance and preservation of official minutes, by-laws, agreements, contracts and other corporate records
Freedom of Information: responds to inquiries under the Municipal Freedom of Information and Protection of Privacy Act (MFIPPA)
Commissioner for Taking Affidavits: The Municipal Clerk and selected staff are able to provide this service during regular office hours
Municipal Elections: Oversees and conducts the Municipal Elections every four (4) years for the offices of Mayor, Deputy Mayor and Councillors as well as certain aspects of the elections of members to the school boards
Animal Services: Oversees the animal control contract regarding dogs
Line Fences: Administers the arbitration procedure for the resolution of line fence disputes between the owners of adjoining properties
Livestock Valuer: Administers the claims for damages under the Livestock, Poultry and Honey Bee Protection Act
Drain Maintenance: Administers the municipal drain maintenance system process within Grey Highlands
IT: Oversees the Information Technology systems for the Municipality including maintaining the servers and related network infrastructure and applications at the Municipal Office and remote locations (Depots, Fire Halls, etc.)
Cemeteries: Oversees the administration of the active cemeteries including plot sales, chapel, burials and maintenance
